1. Consultation & Design

  • A consultation is required before production begins.
  • The GH₵1,000 consultation fee is non-refundable but credited toward the final outfit once the order is confirmed.
  • Design, measurements, fabrics, embellishment and timelines are discussed during consultation.
  • Significant changes after approval may attract additional charges or affect completion.
  • Ann Chestnuts may modify or decline technically unsuitable design elements.

2. Payment

  • A 70% deposit is required before work begins.
  • The remaining 30% must be paid before release or delivery.
  • Work begins only after the required deposit is received.
  • Deposits are non-refundable once production has commenced.
  • Approved changes, extra materials, urgent requests or additional fittings may attract extra charges.

3. Fabric & Materials

  • The client supplies the required fabric unless Ann Chestnuts is contracted to source it.
  • Client-supplied fabric must be inspected before production.
  • Charges may vary based on fabric type, quality, delicacy and condition.
  • Luxury, beaded, sequined, lace or difficult fabrics may attract additional charges.
  • Ann Chestnuts is not responsible for pre-existing defects, insufficient fabric or colour inconsistencies.

4. Measurements & Fittings

  • Accurate measurements are essential.
  • Clients must attend scheduled fittings where necessary.
  • Measurements may be taken by Ann Chestnuts or supplied by the client at the Designer’s discretion.
  • Significant body changes after measurement must be disclosed and may attract alteration charges.
  • Wear the intended undergarments, shoes or shapewear to fittings.

5. Fitting & Alterations

  • Normal minor fitting adjustments are included where applicable.
  • Changes of mind, measurements or an approved design may attract an additional fee.
  • Further alterations after final approval may be charged separately.
  • A garment cannot be guaranteed to fit identically to an edited image, reference photograph or another person’s garment.

6. Timelines & Deadlines

  • Detailed garments, beadwork, embroidery and appliqué may require three weeks or more.
  • The completion date is confirmed after design, fabric and payment.
  • Late payments, materials, fittings, responses or changes may revise the timeline.
  • Rush orders are discretionary and may attract a rush fee.

7. Design Changes

  • Changes after production begins may affect cost and completion.
  • Significant changes may require extra fabric, labour or reconstruction.
  • Costs are communicated before changes are implemented.
  • Changes requested after substantial work may not be possible.

8. Cancellation & Refunds

  • Payments are non-refundable once production has commenced.
  • On cancellation, payments may be retained to cover work, materials, labour and time.
  • Materials purchased specifically for an order are non-refundable.
  • If Ann Chestnuts cannot fulfil an order due to circumstances within its control, an appropriate resolution will be discussed.

9. Collection & Delivery

  • Clients are notified when an outfit is ready.
  • The outstanding balance must be settled before release.
  • Delivery fees are the client’s responsibility unless agreed otherwise.
  • Ann Chestnuts is not responsible for third-party delivery delays after handover.
  • Completed outfits must be collected within the agreed period.

10. Client Responsibility

  • Provide accurate information and measurements.
  • Pay on time and attend scheduled fittings.
  • Respond promptly to approval or clarification requests.
  • Provide fabrics and materials within the agreed period.
  • Raise concerns during production, not after final approval.

11. Quality & Handmade Work

Hand embellishment, beadwork, appliqué and embroidery may have natural slight variations. The final piece may not exactly replicate a reference image. Minor variations are part of handmade craftsmanship, while every effort is made to preserve the approved design’s quality and character.

12. Photography & Content

Ann Chestnuts may photograph completed garments, works in progress and behind-the-scenes production for portfolio, marketing and social media. Clients who do not want their image or identifying information used should notify Ann Chestnuts before publication.

13. Communication

Important approvals, changes, payment confirmations and timelines must be communicated through the agreed official channel. Material verbal changes should be confirmed in writing.

14. Final Approval

Before collection or delivery, the client may inspect or try on the completed garment where applicable. Alterations requested after final approval and possession may attract additional charges.

15. Acceptance of Terms

By making payment or confirming an order, the client acknowledges that they have read, understood and agreed to these policies.

Written communication is compulsory.
All order-related communication must be kept in writing through WhatsApp text or voice notes. Unscheduled calls are not permitted; calls will be arranged when necessary. This keeps a clear record of design preferences, approvals, changes and agreements.
